Cancellation & Refund Policy

Who this covers

This policy applies to payments collected by Lotus Systems (Siem Reap, Cambodia) for Lotus Concierge hotel software. Guest booking payments for Lotus Pause will follow the cancellation rules shown at checkout on the Pause site when that product is live.

How you pay

Setup fees and subscriptions are paid from the pricing section on the homepage by scanning a KHQR with any Cambodian banking app. Funds settle to Lotus Systems’ ABA accounts. Invoices are also emailed from [email protected].

Setup fees

• If you cancel in writing before we start onboarding (no hotel credentials issued, no setup work begun), we refund the setup fee in full to the original bank account.
• Once onboarding has started, setup fees are non-refundable because the work is already allocated to your property.
• Essential and Professional include 60 days complimentary service after setup. That window is not billed; cancelling during it does not create a subscription charge.

Subscriptions

• Plans are billed every 30 days (or annually if you chose annual billing). There is no long-term lock-in.
• Cancel any time before the next billing date by email or Telegram. Access continues through the period already paid.
• We do not refund a billing period that has already started, except where Cambodian law requires it or we agree in writing.
• If a payment fails, we will remind you and may pause the service until the invoice is settled.

Failed, duplicate, or unauthorized charges

If you are charged twice, charged the wrong amount, or you did not authorize the payment, contact us within 7 days. We will refund the error to the original account after we confirm the transfer.

How to request a refund or cancel

Email [email protected] or Telegram @apsaraaibot. Include the transfer reference or invoice number. Approved refunds are returned to the original account; bank timing depends on the sending bank.
